Submitted vs accepted in EPR reporting

A transmission receipt proves that something was sent. It does not necessarily prove that a register, authority or scheme accepted the content as complete or correct.

Keep statuses separate

A controlled workflow records the stage reached and the evidence for that stage.

  • Prepared: a draft exists.
  • Reviewed: a specialist checked the data and mapping.
  • Approved: the authorised client or reviewer approved the filing pack.
  • Submitted: the pack was transmitted.
  • Accepted: the receiving body confirmed acceptance or completion.

Evidence to retain

Keep portal receipts, emails, reference numbers, timestamps and submitted file versions together.

  • Submission timestamp and user
  • Exact file or form version
  • Portal or authority reference
  • Acceptance, rejection or clarification message

When a correction is needed

Do not silently overwrite the filed dataset. Create a correction or new version linked to the original submission and approval.
